This Knowledge Base article walks through adding existing clients to a service

☑️ Requirements/Dependencies

Before users are able to add clients to a service, they must:

  • Have a valid ShareVision login

  • The user’s roles must have access to the Add to Service Buttons

\uD83D\uDCD8 Add Existing Client to a Service

A client is active in a service when they have a start date but no exit date. Clients can be added to a service in five different areas of your site: 1) the Client Contact Info Page Part 2)the Participants Page Part in a Service 3) the Clients Portal 4) The participant’s Service History Page 5) the service’s Service History page.

Add existing client to a Service from the Client Contact Info PagePart

  1. Click the Clients Portal

  2. Select the Client you’d like to place in a service

  3. Navigate to the Client Details Page

  4. Locate the Client Contact Info Page Part. Note that the Client Contact Info Page Part may be in a different location on your site

  5. Click Add to Service

  6. Select the Service for which you want to add the client. Only Services the client is not currently active in or waitlisted for will appear in the drop down.

  7. Add a Start Date

  8. Click Finish

  1. Click the Services Portal

  3. Navigate to the Service Details Page

  4. Locate the Participants Page Part. Note that your ShareVision site may have a different location for the Page Part.

  5. Click Add Client

  6. The Add Client Wizard will appear, search for the client you want to add to the service

  7. Once the individual has been located in the search, press the Add to Service Button beside their name

  8. The Client and Service fields will be automatically filled in as we began the process in the applicable services Participants Page Part (step 1-4)

  9. Enter a Start Date

Add existing client to a Service from the Clients Portal

  1. Click the Clients Portal

  2. Use the search bar to locate the client you’d like to add to a service

  3. Once the client is found, click the three dots beside their name and then click add to service

  4. A new Page will appear. Select the service you’d like to add the client to in the Service drop down. Note: only Services the client is not currently in or waitlisted for will appear in the drop down.

  5. Enter a Start Date

  6. Click Finish

  3. The Service History Page will typically have three Page Parts - Active Clients, Waitlist, and Exited Clients

All three Page Parts use Service History as the data source, for this reason a user can click the Add History button on either of the Active Clients or Waitlist Page Parts as it will be an entry in the same list, how the entry is filled will determine whether the client is active or waitlisted.

  5. Click Add Service History

  7. Add a Start Date - this will add the client directly to the Service, not the Waitlist

  8. Click Save

Viewing the Services a Client is Active in

Once a client has been entered into a service through one of the five areas of your ShareVision site listed above, there are a two places a user can verify the client is active in the service: the client’s Client Contact Info Page Part and a services Participants Page Part.

The Client Contact Info Page Part

Any Services a client is active in will appear in the Services field on the Client Contact Info Page Part. Below, we can see that Brown, Mary is active in the services Seaside Home and Online Book Club

The Participants Page Part

All participants currently active or waitlisted in a service will appear on the services Participants Page Part, typically found on the Service Details Page (Services Portal → Select Service → Service Details Page → Participants Page Part. Note that your ShareVision site may have a different location for the Page Part.

A user can identify active clients on the Participants Page Part by using the Show All, Active, Waitlist toggle at the top of the Page Part

or by hovering over the buttons beside the client. A waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service (active) will only have an Exit Service button
