(question) Overview

This Knowledge Base article discusses adding clients to a service, to a waitlist, and exiting clientsgoes through the process of removing a client from a service waitlist.

☑️ Requirements/Dependencies

Before users are able to add remove clients to from a service, waitlist, or exit a client they must:

  • Have They must have a valid ShareVision login

  • The user’s roles must have access to the Add to Service and Exit from Service Buttonsremove clients from services

A client is on the waitlist when they have a referral date to a service but no start date. You can add a client to a waitlist in two areas on your site: 1) from the Client Contact Info Page Part or 2)from the Service Participants Page Part

Add to Waitlist from the Client Contact Info PagePart

  1. Go to the Client Contact Info Page Part, typically found on the Client Details Page (Client Portal → Select Client → Client Contact Info Page Part)

  • Click Add to Service.

  • Select the Service for which you want to add the client to the waitlist.

  • Add the Referral Date, do NOT enter a Start Date - this will add the client directly to the Service, not the Waitlist.

  • Click Finish

  • Once saved, you will see the waitlisted service displayed under the Service Waitlist field on the Client Contact Info Page Part

  • The Client will also be visible on the Participants Page Part for the waitlisted Service.

    1. The Service Participants PagePart

    2. The Service History Page (in the Services portal)

    3. The Clients Service History Page

    1. Click the Services Portal

    2. Select the Service you wish to remove the waitlisted client from

    3. Navigate to the Service Details Page

    4. Locate the Participants PagePart. Note that your ShareVision site may have a different location for the PagePart. Remove Client from Waitlist using Participant's History Page

    5. Waitlisted clients can be identified in two ways

      1. Using the Show All, Active, Waitlist toggle at the top of

    the Page PartImage Removed or by hovering
      1. the PagePart: selecting Waitlist will filter the PagePart to only show clients on the service waitlist.

      1. : a waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service will only have an Exit Service button

    Add to Waitlist from the Services Participants Page Part

    1. Navigate to the applicable Service Participants Page Part, typically found on the Service Details Page (Services Portal → Select Service → Participants Page Part)

    1. Click Add Client

    2. The Add Client Wizard will appear, search for the client you want to waitlist in a service

    3. Once the individual has been located in the search, press the Add to Service Button beside their name

    4. The Client and Service fields will be automatically filled in as we began the process in the applicable services Participants Page Part (step 1)

    5. Enter a Referral Date, do NOT enter a Start Date - this will add the client directly to the Service, not the Waitlist.

    6. Click Finish

    7. You will be redirected to the Service Details Page where the process was started and the waitlisted client will now appear in the services Participants Page Part

    8. The waitlisted service will also appear on the client’s Client Contact Info Page Part in the Service Waitlist field

    Add to a Service

    Clients can either be added directly to a service, or they can first be put on the waitlist and later added to the service when space allows.

    Add Client to a Service (Not from Waitlist)

    Follow the steps from the Add to Waitlist section of this article, instead of adding a Referral date, add a Start Date. A Referral Date can also be added if needed, but is not mandatory.

    Once a client has been added to a service, it will appear in the Services field of the Client Contact Info Page Part

    1. Once you have located the waitlisted individual you’d like to remove, press the Remove from Waitlist button

    2. A new page will appear, add a date to the Exit Date field

    3. Click Finish

    Remove Client from Waitlist using Service History Page

    1. Click the Services Portal

    2. Select the Service you wish to remove the waitlisted client from

    4. The Service History Page will typically have three PageParts - Active Clients, Waitlist, and Exited Clients

    5. Find the waitlisted client you want to remove in the Waitlist PagePart and press the three dots beside their name

    6. Click Edit on the pop-up menu

    7. Enter a date in the Exit Date field

    8. Press Save

    Remove Client from Waitlist using Client’s Service History Page

    1. Click the Clients Portal

    2. Select the client you’d like to remove from a Service Waitlist

    3. Click the Service History Page

    4. Locate the Waitlist Service History entry, an entry for the waitlist will have a Referral Date but no Start Date

    5. Click the three dots beside the Service you want to edit then press Edit

    6. Enter a date in the Exit Date field

    7. Press Save

    Viewing Services a Client is Waitlisted in

    Once a client has been removed from a service waitlist through one of the three areas of your ShareVision site listed above, there are two places a user can verify the client was successfully removed from the waitlist: the client’s Client Contact Info PagePart and a Services Participants PagePart.

    Any Services a client has been waitlisted in will appear in the Service Waitlist field on the Client Contact Info PagePart. Below, we can see that Jimmy Anderson is waitlisted in the Service: Online Book Club. If the Service does not appear on the Client Contact Info PagePart, the client has been removed from the waitlist.

    All participants currently active or waitlisted in a Service will appear on the Services Participants PagePart, typically found on the Service Details Page (Services Portal → Select Service → Service Details Page → Participants PagePart). Note that your ShareVision site may have a different location for the PagePart
