(question) Overview


This article will cover everything you need to know about Recycle Bins on your ShareVision site. There are two Recycle Bins, one in the Quick Start Menu and one in Portal Settings. Each Recycle Bin holds a distinct purpose and requires different permission levels.

Before working in the Quick Start Menu Recycle Bin and Portal Settings Recycle Bin you will need to:

Quick Start Menu Recycle Bin

The Recycle Bin that is located on the Quick Start menu provides storage for deleted Forms, Form Fields and Form Submissions.

Accessing the Quick Start Menu Recycle Bin

  1. Login with your ShareVision user credentials

  2. Click the Recycle Bin located by the Quick Start menu

    Once in the Quick Start Recycle Bin you will be able to see any deleted Forms, Form Fields and Form Submissions. Most users will only be able to see their own deletions in the recycle bin, Site Administrators will be able to see deleted items from all users.

  3. Each deleted entry will display the following fields in the recycle bin:

    1. Action: used to restore deleted entries

    2. ID number: system field used as a unique identifier

    3. Name: the name of the deleted entry

    4. Type: lists if the deleted entry was a Form, Form Field or Form Submission (Forms, Form Fields and Form Submissions),

    5. Created By: who created the entry

    6. Deletion Time: what date and time the entry was deleted

    7. Deleted By: who deleted the entry

Searching the Recycle Bin

Use the Search Bar at the top of the Recycle Bin Page Part to find a specific item

Items can be searched by Name and Type. Type a key word from the Name or Type of the deleted entry you wish to find and click enter/search, items that match the search criteria will appear.

If no items match your search criteria, a message will appear “There are no records found that were deleted by you”.

Restoring an Item

To restore an entry from the Quick Start recycle bin, click the restore button in the Action field

Once the item has been restored a pop up will appear at the bottom of the screen confirming the restore has been successful

If you are a staff user and cannot see an item that you believe has been deleted, please contact your ShareVision Administrator.

Portal Settings Recycle Bin

The Recycle Bin that is located in the Portal Settings and stores deleted Portals with their related Pages and Page Parts, Pages with their related Page Parts, and Page Parts

Accessing the Portal Settings Recycle Bin

  1. Login with your ShareVision Site Administrator user credentials

  2. Select (click on) your name in the upper right hand corner

  3. Select Site Administration on the menu that appears

  4. The Site Administration Home page will be displayed. Select Portal Settings in the Site Settings section:

  5. Select the Recycle Bin Icon

  6. The Recycle Bin will appear as a pop-up on your screen. The Portal Settings Recycle Bin will contain any deleted Portals, Pages and Page Parts

Restoring an Item

Portals

When a Portal is selected in the Recycle Bin it will display the Portal name, any Pages or Page Parts that are in the portal, who deleted the Portal and when the deletion occurred.

Clicking the Restore button for a deleted Portal will restore the Portal, Pages, and Page Parts that were contained within the Portal.

Pages

Selecting a Page in the Recycle Bin will cause additional information to appear on the right hand side. The Page Name, Parent Portal Name (what Portal the Page was in before deletion), Page Parts on the Page, who deleted the Page and the Date and Time of deletion will be displayed.

If you would like to restore a Page, click the Restore button. Restoring a Page will also restore any Page Parts that were on the Page when it was deleted.

Page Parts

Selecting a Page Part will cause additional information to appear on the right hand side. The Page Part Name, Parent Page Name, Parent Portal Name, who deleted the Page Part and when the deletion occurred will be displayed.

Using the Restore button will return the Page Part to the Page listed as the Parent Page within the Parent Portal.

Note

Note: Page Parts cannot be restored if the form used by the Page Part has been deleted. Restore the deleted form before you restore a deleted page part. Review ShareVision and User Forms Article.

Once a Portal, Page, or Page Part has been successfully restored, a pop up will appear confirming the restoration.

Clean Recycle Bin

The Clean Recycle Bin button will permanently delete all items in the recycle bin, making them unavailable to be restored.

Please only use the Clean Recycle Bin button when you are certain that all items in the recycle bin will not need to be restored at a later date.
