(question) Overview

This Knowledge Base article discusses adding clients exiting (removing) existing clients from a service. The client will first need to be added to a service, : Add Existing Client to a waitlist, and exiting clientsService.

☑️ Requirements/Dependencies

Before users are able to add clients to a service, waitlist or exit a client:

  • They must have a valid ShareVision login

  • The user’s roles must have access to the Add to Service and Exit from Service Buttons

A client is on the waitlist active in a service when they have a referral start date to a service but no start exit date. You Clients can add a client to a waitlist in two areas on be exited from a service in by inputting an exit date in the following areas of your site:1) From the

  3. The Client Details Page will open. Find the Client Contact Info PagePart, typically found on the Client Details Page (Client Portal → Select Client → Client Contact Info PagePart)

  • Add the Referral Date, do NOT enter a Start Date - this will add the client directly to the Service, not the Waitlist

  • Click Finish

  • Once saved, you will see the waitlisted service displayed under the Service Waitlist field on the Client Contact Info PagePart

  • A user can identify a waitlisted client on the Participants Page Part by:

    1. Using the Show All, Active, Waitlist toggle at the top of the Page Part

    b. By hovering over the buttons beside the client. A waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service will only have an Exit Service button

    Add to Waitlist from the Services Participants PagePart

    1. Navigate to the applicable Service Participants PagePart, typically found on the Service Details Page (Services Portal → Select Service → Participants PagePart)

    2. Click Add Client

    3. The Add Client Wizard will appear, search for the client you want to waitlist in a Service

    4. Once the Individual has been located in the search, press the Add to Service Button beside their name

    5. The Client and Service fields will be automatically filled in as we begin the process in the applicable services Participants PagePart (step 1)

    6. Enter a Referral Date, DO NOT enter a Start Date - this will add the client directly to the Service, not the Waitlist

    8. You will be redirected to the Service Details Page where the process was started and the waitlisted client will now appear in the services Participants PagePart

    9. The waitlisted service will also appear on the client’s Client Contact Info PagePart in the Service Waitlist field

    Add to a Service

    Clients can either be added directly to a service, or they can first be put on the waitlist and later added to the service when space allows.

    Add Client to a Service (Not from Waitlist)

    Follow the steps from the Add to Waitlist section of this article, instead of adding a Referral date, add a Start Date. A Referral Date can also be added if needed but is not mandatory.

    Once a client has been added to a service, it will appear in the Services field of the Client Contact Info PagePart

    4. Locate the Participants Page Part. Note that your ShareVision site may have a different location for the Page Part

      1. Notice that Clients who are waitlisted for the selected Service also show up here. You can use the “Remove from Waitlist” or “Add to Service” buttons next to the waitlisted Client. However, Clients that are already in the Service will only have a “Remove from Service” button next to them

    5. Search for the name of the client you want to remove. Remember to use the form [LastName, FirstName], or you can search by only their last name or by only their first name

    1. Click the Clients Portal

    2. Use the search bar to locate the client you’d like to exit from a service

    3. Once the client is found, click the three dots beside their name and then click Exit Service

    4. A new Page will appear. Select the Service you’d like to remove the client from in the Service drop down. Note: only Services the client is currently in will appear in the drop down

    5. Enter an Exit Date and click Finish

    1. Click the Services Portal

      1. The Service History Page will typically have three Page Parts - Active Clients, Waitlist, and Exited Clients

      2. All three Page Parts use Service History as the data source, however, since you can only exit a client that is already in the Service, we will be looking at the Active Clients Page Part only for exiting clients

    4. Search for the Client you would like to exit from the Service

    5. Select the Client from the Active Clients section. The Service History for the selected Client will be displayed. Select Edit
