Calendar Colour Configuration

Overview
Calendar Colour Configuration allows for calendar events to be colour coded based on the value selected in a Choice or Lookup column (field) selected in the event.
In the example below, Jimmy's Individual Schedule the calendar colour coding has been set up to highlight events based on the Category that was selected for each event.
Each of the following categories have a colour code defined:
- Educational
- Event
- Medical Appointment
Note that 'Social' in the Category list does not have a colour code defined.
Once the Calendar Colour Coding is configured on your site, the calendar where the colour coding has been applied will appear like:
Reminder
Calendar colour coding can be configured for any Choice or Lookup column (field) on any Calendar. This is important to know because you can use any Choice or Lookup columns on a list to colour code events on the Calendar. In the example above, the Category selected determined the colour of the event on the Calendar.
To change the colour of events on a Calendar based on the Program or Service, you either need to change which column will determine the colour of the events or publish the same Calendar on a different pagepart and link the colour code to a different Choice or Lookup column on the Calendar.
Requirements
- Login with ShareVision Administrator permissions
- Have a calendar with at least one Choice or Lookup column (field)
Note: The Calendar can have mulitple Choice or Lookup columns (fields)
Verifying Columns (Fields) on Calendars
- Login to ShareVision with a user account that has Site Administrator permissions.
- Select the gear in the upper right hand corner and then select Site Administration:
- When prompted, enter your ShareVision Administrator username and password and select Sign In.
- Select View All Lists and Libraries in the Lists and Librairies section.
- Search for a Calendar
- Select List Settings for the Calendar you would like to add colour coding to.
- In the Columns section of the List Settings, review the Choice and Lookup columns.
- For any Choice or Lookup column that you would like to apply colour coding to, you will need to get the list of values for each column.
Reminder: You can apply colour coding using any of the Choice or Lookup colums on the same calendar. You will just need to use a different Calendar PagePart for each column that you want to apply the colour coding to.
Choice Columns: Viewing Choices
- To view the choices in Choice columns, select the column
- Scroll down to the list of choices under: Type each choice on a separate line:
Lookup Columns: Viewing Choices
- To view the choices in Lookup columns, select the column
- In the Additional Column Settings section, go to the Get Information from: section on the form. This is the name of the list that contains the choices in the Lookup column on the form.
- Next, take note of the name of the column in the drop down under In this column.
- Scroll to the top of the window and select the Lists and Libraries button.
- Search for the list name you noted in step #2 above
- Select the list from the search results
- Take note of the list of items in the column you identified in step #2 above.
Calendar Colour Configuration
You will now use the choices from the Choice and Lookup columns that you reviewed in the steps above to assign colours to each of the choices.
IMPORTANT
For these next steps, you will need to type the choices in to the Colour Column Value field in the Calendar Colour Configuration. The Colour Column Values must be entered exactly the same as they are in the Choice or Lookup fields.
Navigating to Calendar Colour Configuration
- In Site Administration, select Calendar Colour Configuration in the Features and Utilities section.
- Follow the steps in the sections below for Adding, Editing or Deleting a Calendar Colour Config.
Adding a Calendar Colour Config
- To apply colour coding to a Calendar for any choice in a Choice or Lookup column on any Calendar on your site, select the New Item button.
- Enter the choice in the Colour Column Value field.
- Select or assign a Font Colour by selecting the box next to the Font Colour field.
- Select or assign a Background Colour by selecting the box next to the Background Colour field.
- You now have 3 options:
- Add Another Category to add additional choices and assign colours to them
- Select Save to save the colour you have assigned to the choice.
- If you select Cancel, the choice you entered and the colours you selected or assigned will not be saved.
Editing a Calendar Colour Config
- To edit an existing colour code on a Calendar, select the Edit button on the row for the item you would like to edit.
- Modify the Font Colour by selecting the box next to the Font Colour field, as needed.
- Modify the Background Colour by selecting the box next to the Background Colour field, as needed.
- You now have 3 options:
- Select Save to save the colour you have assigned to the choice.
- If you select Delete, you will be prompted to confirm the deletion. The colour coding will be deleted. See the next section for more information about deleting.
- If you select Cancel, the choice you entered and the colours you selected or assigned will not be saved.
Deleting a Calendar Colour Config
- To delete an existing colour code on a Calendar, select the Edit button on the row for the item you would like to delete.
- Select the Delete button.
- Confirm the deletion or cancel it on the window that appears.
- If you confirm the deletion, the colour coding for this item will be deleted. If you cancel it, the colour coding for the item won't be deleted and you will be returned to the edit window for this item.
Calendar PagePart Configuration
You will now need to connect the calendar colours that you configured to a calendar pagepart on your site.

- In Site Administration, select Configure Portal Settings in the Portals and Pages section.
- Navigate to a calendar that you would like to apply colour coding to. In this example, we will apply colour coding to the Individual Schedule on the Individual Details Landing Page.
- Select the Individuals Portal
- Select the Individual Details Page.
- Select the Individual Schedule PagePart.
- Select the Calendar Settings section to expand it
- The last field in the section is Colour Column. Select the choice or lookup column from the Individuals Schedules list that you would like to base the colour codes on.
- Scroll down to the bottom of the pagepart and select save.
- Scroll to the top of the Calendar PagePart settings and select the View PagePart link.
- The page with the pagepart will open in a new tab. Any existing event that has a value selected in the choice or lookup up field linked to the Calendar Colour Configuration where the choice has had a colour code configured will be colour coded. You can test additional colour coding by adding test events to the calendar and selecting different choices in the column that was selected for the colour coding.
