(question) Overview

This Knowledge Base article goes through the process of removing a client from a service waitlist.

☑️ Requirements/Dependencies

Before users are able to remove clients from a waitlist:

  • They must have a valid ShareVision login

  • The user’s roles must have access to remove clients from services

\uD83D\uDCD8 Remove from a Waitlist

A client is on the waitlist when they have a referral date to a service but no start date. You can add a client to a waitlist in two areas on your site:

  1. The Service Participants PagePart

  2. The Service History Page (in the Services portal)

  3. The Clients Service History Page

Remove Client from Waitlist using Service’s Participants PagePart

  1. Click the Services Portal

  2. Select the Service you wish to remove the waitlisted client from

  3. Navigate to the Service Details Page

  4. Locate the Participants PagePart. Note that your ShareVision site may have a different location for the PagePart. Remove Client from Waitlist using Participant's History Page

  5. Waitlisted clients can be identified in two ways

    1. Using the Show All, Active, Waitlist toggle at the top of the PagePart. Selecting Waitlist will filter the PagePart to only show clients on the service waitlist.

    2. Hovering over the buttons beside the client. A waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service will only have an Exit Service button

  6. Once you have located the waitlisted individual you’d like to remove, press the Remove from Waitlist button

  7. A new page will appear, add a date to the Exit Date field

  8. Click Finish

Remove Client from Waitlist using Service History Page

  1. Click the Services Portal

  2. Select the Service you wish to remove the waitlisted client from

  3. Click the Service History Page

  4. The Service History Page will typically have three PageParts - Active Clients, Waitlist, and Exited Clients

  5. Find the waitlisted client you want to remove in the Waitlist PagePart and press the three dots beside their name

  6. Click Edit on the pop-up menu

  7. Enter a date in the Exit Date field

  8. Press Save

Remove Client from Waitlist using Client’s Service History Page

  1. Click the Clients Portal

  2. Select the client you’d like to remove from a Service Waitlist

  3. Click the Service History Page

  4. Locate the Waitlist Service History entry, an entry for the waitlist will have a Referral Date but no Start Date

  5. Click the three dots beside the Service you want to edit then press Edit

  6. Enter a date in the Exit Date field

  7. Press Save

Viewing Services a Client is Waitlisted in

Once a client has been removed from a service waitlist through one of the three areas of your ShareVision site listed above, there are two places a user can verify the client was successfully removed from the waitlist: the client’s Client Contact Info PagePart and a services Participants PagePart.

The Client Contact Info PagePart

Any Services a client has been waitlisted in will appear in the Service Waitlist field on the Client Contact Info PagePart. Below, we can see that Jimmy Anderson is waitlisted in the Service: Online Book Club. If the Service does not appear on the Client Contact Info PagePart, the client has been removed from the waitlist.

The Participants PagePart

All participants currently active or waitlisted in a Service will appear on the Services Participants PagePart, typically found on the Service Details Page (Services Portal → Select Service → Service Details Page → Participants PagePart). Note that your ShareVision site may have a different location for the PagePart

A user can identify a waitlisted client on the Participants PagePart by using the Show All, Active, Waitlist toggle at the top of the PagePart…

…or by hovering over the buttons beside the client. A waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service will only have an Exit Service button

If the user you have removed from the waitlist is not visible in the Participants PagePart as active or waitlisted, they have been successfully removed from the waitlist
