Application Settings

Overview
In Application Settings, there are 6 tabs to help your Site Administrator set up your site.
General tab: Set the Timezone and phone number format on your site
Appearance tab: Enter or update your organization’s name and add your logo
User Management tab:
Set new users to Active by default, enable captcha on registration and require email confirmation for new users
Control Session Timeouts
Allow users to use Gravatar profile pictures
Manage Community Forum Users
Security tab: Set the password complexity and enable user lock out
Notifications tab:
Enter an email address and name that your site will use as the reply to email address in notifications
Enable SMS for your site to send notifications by text message.
About SMS / Text Message Notifications: Text message notifications require a Twilio account. After you have set up your Twilio account, you will need to enter your account information on your site for text message notifications to work. (Site Administration > Application Settings > Notifications > Enable SMS
Features: Enable or disable features such as Assigned Worker, Goals And Progress and Unflag Items from any users
Requirements/Dependencies
Login with Site Administrator permissions.
Instructions
Login to ShareVision with a user account that has Site Administrator permissions.
Select (click on) your name in the upper right hand corner
Select Site Administration on the menu that appears
The Site Administration Home page will be displayed. Select Application Settings under Site Settings
Application Settings will open and you can select a tab
General
Timezone
The Timezone for your ShareVision site can be set in a few simple steps:
From the drop-down, select the timezone that will be used throughout the application for all date and time fields and date and time stamps.
Select "Save all" when done.
Note: if users are in another timezone, they can adjust the timezone for themselves from "My settings".
Phone Number Format
Standardize how phone numbers are stored throughout the application by selecting the desired format. Any form that uses the form app "Phone Number" field will be formatted as selected.
Select your desired phone number format from the drop down
Once selected, click Save all
Appearance
Site information
This refers to the name of your organization that is displayed throughout your site. You can modify it as needed to align with your requirements.
Application Logo
Update the logo used for your ShareVision site by uploading an image file with your new logo. Images can be JPG, JPEG, PNG or GIF, images will be automatically scaled down to an appropriate size.
Click the Browse bar and select your desired logo
The logo will be automatically resized
Click Apply to save your logo on your ShareVision site - once applied you will notice the logo change immediately
Save All
When you have completed the changes, select Save all.
User Management
External Logins
External Logins only applies to sites where the External Login Settings feature has been set up. This feature is only available for ShareVision Plenty subcriptions.
Check the box to enable the creation of new user accounts when a user logs in with a Google or Microsoft account. See External Login Settings for more information.
Check the box to enable the captcha image security question when a user logs in.
Select Save all.

User management - Session Timeout Control
Allows you to choose how many minutes of mouse or keyboard activity will trigger the session to time out. The user will be required to login again.
Tick the box to enable Session Timeout Control
Show Lock Screen When Timed Out - takes the users to the login page of the site so they can login when they are ready to resume work. (optional, but recommended)
Timeout (Minutes) - sets the number of minutes of inactivity that will trigger the session to time out.
Countdown Modal Wait Time (seconds) - sets the number of seconds the user is warned before the timeout is activated. If they move the mouse the timeout will be ended, and the timer will start again.
User Management - Other Settings
Email Confirmation required for login
Requires that the user confirms their email address before login in for the first time. Confirms the user has access to the email address entered in their user record and protects against a typo in the email address.
Check the box to enable Email confirmation required for login.
Select Save all
User Management - Profile
Allows the use of Gravatar profile pictures for users.
Check or uncheck the box to enable or disable the use of Gravatar profile pictures.
Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
User Management - Manage Community Forum Users
Community Forum is a place for ShareVision Users to share information with each other. Users require a username and password to participate.
Click Add user
Fill in the form
Click add user to complete the process. An email will be sent to the newly added user.
Click cancel to back out of the process.
Security
Security - Password complexity
ShareVision rolls with "Use default settings" checked and the required password length set to 6. You can set the desired level of password complexity for users.
Untick Use default settings opens up options for each of the following which can be checked (or later unchecked):
Require digit
Require lowercase
Require non-alphanumeric
Require uppercase
Required length is set to 6 (can be changed).
Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
Security - User Lock Out
This is the number of times that a user can try to log in with an incorrect password. Once that have reached the number of allowed attempts they are locked out of ShareVision for the set duration.
User Lock Out is enabled by ticking the box Enable user account locking on failed login attempts.
The number of failed attempts is set by the number value in Maximum number of failed login attempt count before locking the account.
The duration of the lockout is set in Account locking duration (as seconds)
Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
External Login Settings
If your subscription includes this feature, the External Login Settings tab will be displayed when you select Application Settings
The External Login feature can be set up to work with Google or Microsoft accounts. When enabled, if a user has already logged into their Google or Microsoft account for your organization on a web browser, they will not be prompted to login to your ShareVision site.
Because there are specific steps required for each option, there are separate instructions for setting up your site with:
Notifications
Notifications -Reply to address used in emails sent from the system
Enter an email address that is monitored and can receive email notifications that are replied to by a user.
Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
Notifications -Name associated with the reply to address
Enter a name or position that is associated with the reply to email address. This is optional and can be left blank.
Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
Notifications -Enable SMS (Twilio)
In order to use SMS (Twilio) it must be enabled for the app using your SMS (Twilio) account.
Select the check box to Enable SMS (Twilio).
Fill in the account details in each of the sections as follows:
Account SID
Enter the Account SID.Auth Token
Enter the Auth Token for the account.
Sender Number
Enter the sender number for the account.Click Save all when done. Navigating away from Application Settings without saving will cancel changes in all tabs.
Features
Check or uncheck the box next to the feature to enable or disable each of the features.
Assigned Worker
Check or uncheck the box to enable or disable the Assigned Worker feature. When enabled, this feature displays the Assigned Worker field in Client Information forms.
Goal and Progress
Goals and Progress is a build-in feature for your ShareVision site that can be enabled/disabled in the General Tab of Application Settings.
When the box is checked, Goals and Progress is enabled on your site.
Unflag Items from any users
Check or uncheck this box to allow any user to unflag items. If unchecked, only the Site Administrators and the person who flagged an item can unflag it.
Save your Changes
Select Save all to save your changes
