Scenario Description


One of your staff members is leaving your organization, or going on leave.  You need to prevent this user from being able to log into ShareVision.  You do not want to delete the user entirely, as this would remove any sort of audit trail that exists for the user for the time he/she has been with your organization.


Requirement:

 Administrator-level access

Steps:


  1. Disable the User.  If someone is going on short-term leave, you may want to stop at this step, since the additional steps may be more trouble than they're worth.
  2. Change the User's Password.
  3. Remove the User from any groups he/she is a part of.
  4. Finally, remove the user's email address from their account details to stop any email alerts that may be set up for that user


This scenario describes three steps you can take to prevent someone from accessing ShareVision.  Practically speaking only the first step is enough, but we do recommend additional levels of redundancy.  If in doubt, we recommend consulting with your organization's general IT security policy or ShareVision Support.

Delete a User from the Site


The above steps prevent a user from being completely removed from your site, however certain cases require that a users account be completely deleted from a ShareVision site. For example, upon creating an account for a new user they have been assigned an incorrect username, and another account with the correct username is then created. Rather than live with an incorrect username account on your site, it would make more sense to delete this account. The following steps document how this is done:

  1. From the Site actions menu > All site content > People and Groups page
  2. Go to All People in the navigation bar > find the incorrect user account > tick the box on the left
  3. At the top of the page in the toolbar click 'Actions' > from the drop down menu select 'Delete Users from Site Collection'
  4. A pop up will then ask if you are sure you wish to delete the user
  5. Once you have followed those steps, check the user has been removed from all groups, specifically the Staff group
