Add Existing Client to a Waitlist

Overview

This Knowledge Base article walks you through how to add existing clients to a waitlist.

 

Requirements/Dependencies

Before users can add clients to a waitlist:

  • They must have a valid ShareVision login

  • The user’s roles must have access to the Add to Service button

 

 Add to a Waitlist

A client is placed on the waitlist when they have a referral date to a service but no start date. Clients can be added to a service waitlist in five different areas of your site:

  1. The Client Contact Info PagePart

  2. The Participants PagePart in a Service

  3. The Clients Portal

  4. The Participant’s Service History Page

  5. The Service History page (in the Services portal)

Add Existing Client to the Waitlist from the Client Contact Info PagePart

  1. Click the Clients Portal

     

  2. Select the Client you’d like to place on a waitlist

     

  3. Navigate to the Client Details Page

     

  4. Locate the Client Contact Info PagePart. Note that the Client Contact Info PagePart may be in a different location on your site

     

  5. Click Add to Service

  6. Select the Service for which you want to add the client to the waitlist. Only Services the client is not currently in or waitlisted for will appear in the drop-down

     

  7. Add the Referral Date, DO NOT enter a Start Date. Adding a Start Date will add the client directly to the Service, not the Waitlist for the Service

  8. Click Finish

  1. Click the Services Portal

     

  2. Select the Service you wish to waitlist the client in

     

  3. Navigate to the Service Details Page

     

  4. Locate the Participants PagePart. Note that your ShareVision site may have a different location for the PagePart.

     

  5. Click Add Client

     

  6. The Add Client Wizard will appear, search for the client you want to waitlist in a service

  7. Once the individual has been located in the search, press the Add to Service Button beside their name

  8. The Client and Service fields will be automatically filled in as we begin the process in the applicable services Participants PagePart (steps 1-4)

  9. Enter a Referral Date, DO NOT enter a Start Date. Adding a Start Date will add the client directly to the Service, not the Waitlist for the Service

     

  10. Click Finish

Add Existing Client to Waitlist from the Clients Portal

  1. Click the Clients Portal

     

  2. Use the search bar to locate the client you’d like to add to a waitlist

     

  3. Once the client is found, click the three dots beside their name and then click Add to Service

     

  4. A new Page will appear. Select the service you’d like to waitlist the client for in the Service drop-down. Note: Only Services that the client is not currently in or waitlisted for will appear in the drop-down

     

  5. Enter a Referral Date, DO NOT enter a Start Date. Adding a Start Date will add the client directly to the Service, not the Waitlist for the Service

  6. Click Finish, the client will now be added to the Waitlist

Add Existing Client to Waitlist from the Client’s Service History Page

  1. Click the Clients Portal

     

  2. Select the client you’d like to place on a waitlist

     

  3. Click the Service History Page

     

  4. Click Add History

  5. Select the service you’d like to waitlist the client for in the Service drop-down. Note: only Services the client is not currently in or waitlisted for will appear in the drop-down.

     

  6. Add the Referral Date, DO NOT enter a Start Date. Adding a Start Date will add the client directly to the Service, not the Waitlist for the Service

  7. Click Save

 

Add Existing Client to Waitlist from the Services History Page

  1. Click the Services Portal

     

  2. Select the Service you wish to waitlist the client in

  3. Click the Service History Page

     

  4. The Service History Page will typically have three PageParts - Active Clients, Waitlist, and Exited Clients

     

  5. All three PageParts use Service History as the data source. For this reason, a user can click the Add History button on either of the Active Clients or Waitlist PageParts as it will be an entry in the same list, how the entry is filled will determine whether the client is active or waitlisted.

  6. Click Add History

     

  7. Select a client from the Client drop-down

  8. Add the Referral Date, DO NOT enter a Start Date. Adding a Start Date will add the client directly to the Service, not the Waitlist for the Service

  9. Click Save

 

 

Viewing the Services a Client is Waitlisted in

Once a client has been waitlisted in a service through one of the five areas of your ShareVision site listed above, there are two places a user can verify the client was successfully waitlisted: the client’s Client Contact Info PagePart and a services Participants PagePart.

The Client Contact Info PagePart

Any Services a client has been waitlisted in will appear in the Service Waitlist field on the Client Contact Info PagePart. Below, we can see that Jimmy Anderson is waitlisted in the service Online Book Club

The Participants PagePart

All participants currently active or waitlisted in a service will appear on the Services' Participants PagePart, typically found on the Service Details Page (Services Portal → Select Service → Service Details Page → Participants PagePart. Note that your ShareVision site may have a different location for the PagePart.

A user can identify a waitlisted client on the Participants PagePart by using the Show All, Active, Waitlist toggle at the top of the PagePart…

…or by hovering over the buttons beside the client. A waitlisted client will have both the Add to Service and Remove from Waitlist buttons beside their name, clients in the service will only have an Exit Service button
