Viewing Prepaid & Billable Time and Tasks on your ShareVision Site

Overview


On your ShareVision site you can easily view:

  • How much prepaid time has been purchased
  • How much billable time has been used to date
  • How much prepaid time is remaining or if any billable time is owing
  • The list of tasks for work that our Product Experts and/or Developer Team are currently working on or have worked on in the past



Requirements/Dependencies


  • Login with ShareVision Administrator permissions



Accessing your ShareVision Site's Requests and Tasks


  1. Login to ShareVision with a user account that has Site Administrator permissions. 
  2. Select the gear in the upper right hand corner and then select Site Administration:


  3. When prompted, enter your ShareVision Administrator username and password and select Sign In.



  4. In the ShareVision section, select Requests and Tasks


  5. The following window will appear if your ShareVision site is a version 4 site that was not upgraded from an earlier version of ShareVision:


If your version 4 ShareVision site was upgraded from an earlier version of ShareVision, the following window will be displayed:


Status of Current Invoice


While the Status of Current Invoice sections in the two screen prints above have the same information, it is not presented in the same order. Please refer to the screen print below that matches the Requests and Tasks window on your ShareVision site for more details.

Version 4 Sites (not upgraded from an earlier version):

  1. Invoice Number: The invoice number for the invoice where the hours listed in the Prepaid Hours column were purchased on.
  2. Prepaid Hours: Displays the total prepaid hours purchased on the invoice.
  3. Additional Hours Purchased: If additional prepaid hours were purchased on another invoice, those hours will be listed here.
  4. Total Hours Used: This is the sum of Total Assessed Hours Used and Total Unassessed Hours Used.
  5. Total Assessed Hours Used: Total billable hours used to date that have have been reviewed and set to approved on your account.
  6. Total Unassessed Hours Used: Total billable hours used to date that have not yet been reviewed and set to approved on your account. This occurs while tasks are being worked on. Once the tasks are nearing completion or are completed, then the hours are reviewed and are moved to approved. 
  7. Hours Remaining: These hours are calculated using this formula:
                                              (Prepaid Hours + Additional Hours Purchased) - Total Hours Used


Version 4 Sites (upgraded from an earlier version):

  1. Invoice Number: The invoice number for the invoice where the hours listed in the Prepaid Hours column were purchased on.
  2. Prepaid Hrs: Displays the total prepaid hours purchased on the invoice.
  3. Total Hours Used: This is the sum of Total Assessed Hours Used and Total Unassessed Hours Used.
  4. Total Hours Used Assessed: Total billable hours used to date that have have been reviewed and set to approved on your account.
  5. Total Hours Used Not-Assessed: Total billable hours used to date that have not yet been reviewed and set to approved on your account. This occurs while tasks are being worked on. Once the tasks are nearing completion or are completed, then the hours are reviewed and are moved to approved. 
  6. Hours Remaining: These hours are calculated using this formula:
                                              (Prepaid Hours + Additional Hours Purchased) - Total Hours Used
  7. Additional Hours Purchased: If additional prepaid hours were purchased on another invoice, those hours will be listed here.
