Calendars

Overview

ShareVision comes with demo calendars to show what calendar page parts look like. The calendars are for display purposes only and are not functional.

In order to have calendars in ShareVision you must connect to a Google or Microsoft calendar. Once you have added your own calendar(s), you can use the built-in tools to set a Master Client Calendar or a Master Service Calendar. The existing page and page part will be updated on the corresponding Client Details Page and/or Service Details Page.

The Agency Events calendar is found on the home page can be removed and replaced with a new page part connecting to the Google or Microsoft calendar of your choice.

Client Calendar is found on the client details page and filters for calendar items relating to the selected client.

Service Calendar is found on the service details page and filters for calendar items relating to the selected service.

You can add multiple calendars and create additional pages and page parts to expose calendars to users.

IMPORTANT! Once you expose calendars in a connected account to other users, depending on page part security settings, they may be able to add new and/or edit existing calendar items.

 

Requirements/Dependencies

  • Login with Site Administrator permissions.

  • If adding a Google or Microsoft account, make a note of the email address and password before starting.

 

 Instructions

For ease of set-up, we have added links from our demo calendars that take you to the starting page to add your own Google or Microsoft calendar. You can navigate to that same page from Site Administration. Instructions for both methods to get to the Calendar | Linked Accounts page are below.

Connecting a Calendar | Linked accounts - from the link provided on a demo calendar

  1. Login to ShareVision with a user account that has Site Administrator permissions.

  2. Navigate to a page with a demo calendar; the Home page, Client Details Page or Service Details Page.

  3. Starting from the link provided on a demo calendar, simply click on "Click here to configure calendars on ShareVision."

  4. The Calendar | Linked Accounts page will have no calendars listed.

Connecting a Calendar | Linked accounts - from Site Administration

  1. Login to ShareVision with a user account that has Site Administrator permissions.

  2. Select (click on) your name in the upper right hand corner.

  3. Select Site Administration from the menu.

  4. The Site Administration Home page will be displayed. Under Site Content, select Calendars.

  5. The Calendar | Linked Accounts page will have no calendars listed.

Add a Google Calendar

Link to a Google Calendar by following the steps below. You need to know the email address and password of the account before you start.

  1. From the Calendar page, Select Sign in with Google

  2. Following the Google prompts to select a Google Account. Select the account.

  3. Follow the prompts to choose preferences, then select Continue.
    The Google Drive account will now be connected

Add a Microsoft Calendar

Link to a Microsoft Calendar by following the steps below. You need to know the email address and password of the account before you start.

  1. Select Add Microsoft Account

  2. Review pop-up message for Connect Microsoft Account. Connecting to a Microsoft account is a multi-step process, each of which will open in a new tab. Follow the on-screen prompts. (You have to sign out of Outlook and then from then sign in to Outlook as prompted.)

  3. When complete, the process will open the site in a new tab. Navigate back to the the "Calendars" tab.

  4. Microsoft Drive will now be connected.

Set a Master Calendar

ShareVision includes an option to set a Calendars to be associated with clients (filtered for each client) and/or for services (filtered for each service). The included Client Calendar will be updated to connect to the chosen calendar, as will the included Service Calendar.

  1. Go to the row that contains the Google or Microsoft Calendar that you want to set as Master Client Calendar and click on "Set as Master Client Calendar".

  2. Go to the calendar row that contains the Google or Microsoft Calendar that you want to set as Master Service Calendar and click on "Set as Master Service Calendar"

Master Client Calendar and Master Service Calendar can be in the same row.

Switching Master Calendars

Switching Master Calendars requires that you have already added a Google or Microsoft calendar that you wish to switch to.

  1. Go to the row that contains the Google or Microsoft calendar that you want to set as Master Client Calendar and click on "Set as Master Client Calendar".

  2. Click OK to complete the process or Cancel to back out.

  3. To switch the Master Service Calendar, go to the row that contains the Google or Microsoft Calendar that you want to set as Master Service Calendar and click on "Set as Master Service Calendar".

  4. Click OK to complete the process or Cancel to back out.

Note the warning: The calendar account [selected google or outlook calendar] will be used for client calendars instead of the currently configured account. Events will not be transferred from the old calendar account to the new one.

Manage Linked Calendars

You can view calendars, reconnect account or delete account from the ellipse (…).

View Calendars

  1. From the ellipse (…)click "View Calendars".

  2. From the list of calendars, click on "View Calendar" to open a view of a calendar.

You can add calendar items, however it is recommended that calendar items are added from the front end

Reconnect Account

Reconnect Account can be used if the connection to a Google or Microsoft Account has been lost. This can happen if the password for that account is changed.

  1. From the ellipse (...) select Reconnect Account and follow the required steps that are dependent upon if it is a Google or Microsoft account.

Delete Account

An account cannot be deleted if it is set as "Master Client Calendar" or "Master Service Calendar". The delete option is greyed out and contains the message "The Connected Account <name of account> cannot be removed because it is being used for the Master Client or Master Service calendars. If you wish to remove this Connected Account, you must set up another for Master Client and Master Service calendar first.

  1. From the ellipse (...) select Delete Account

  2. Review the warning message. The warning will contain information about any pages that are linked to the account.

  3. Click OK or Cancel
