Calendar PagePart: Set Up and Configuration


Overview


This knowledge base article provides you with everything you need to know about a Calendar PagePart on your ShareVision site.


Requirements/Dependencies


Before setting up portals on your ShareVision site, you will need to

  • Login with ShareVision Administrator permissions 
  • Have set up a calendar in Site Administration: Lists and Libraries that you would like to add to a Page. 
  • In Configure Portal Settings, have added a PagePart to a Page on a Portal
  • Have completed the set up and configuration of the PagePart Name, Accessible on and Display Name (Review PageParts: Set Up and Configuration for more information.)
  • Have developed a plan for the information will need to be made available to your ShareVision users (i.e. Consider what pages you will need for the portals on your site, what type of information will be included on each page and who should have access to each page) 


PagePart Type


Select Calendar as the Type of PagePart. The Calendar PageParts will have a calendar  symbol beside them in Portal Settings for easy recognition.

Data Source


In this section you will decide where which list you will display in the PagePart. You will have the option of picking from any list you have entered in ShareVision. In this example, we use the list titled Program and Residences Schedules because we are making a calendar for a program. Creating and naming a list specific to the use of the calendar that you will use in this section is a good way to avoid confusion.

Next, you will select a content type if there are multiple available. In our example, we have the option of Program Schedule or Residence Schedule, we have picked Program Schedule as we are creating a Programs Calendar.

Current Staff Field

  1. The Current Staff Field will appear in the Data Source section if there is a Person or Group column (field) on the list. You can select the field on the form to autofill with the name of the logged in user who created the new form. If there are multiple Person or Group columns (fields) on the list, you can only select one field. 



  2. By checking the Lock value checkbox next to the Current Staff Field, when users add or edit an event, they will not be able to change the name in the Staff field.

IMPORTANT

To test a form where the Current Staff Field is locked, do not use an user account that has Site Administrator access. The Current Staff Field on the form will not be locked for user accounts that have Site Administrator access.



Calendar Settings


Calendar Settings determine how the calendar will look on the front end when you've finished creating it. Here, you'll decide how you want the time interval to start and end, titles for month/week/day view, subheadings, etc. The Default Scope is how the calendar will be automatically viewed on the front end, whether it's a daily, weekly, or monthly view.

The last field in the Calendar Settings section is part of the set up required to use our Calendar Colour Configuration feature. Be sure to review the Calendar Colour Configuration knowledge base article for step by step instructions.

Below you'll see an example of settings filled in a way that's fairly standard for a calendar.




Listing Portal Form Filters (Listing Portals only)


If this PagePart is being added to a Page on an Listing Portal like Individuals, Programs or Residences, the Listing Portal Form Filters section will appear in the PagePart settings. To learn more about this section, select one of the links below:

For Standard Portals (non-listing), this section will not be displayed.

Additional Filters Fields


In the Additional Filters field, you can add extra filters that you would like used for your Calendar PagePart. While not frequently used for calendars, these additional filters ensure that only the information you want to be viewed is shown. You can use as many or a few as you'd like. When using a date field in Additional Field Filters the date format will match the format of the date field in List Settings


PagePart Buttons


There are three buttons you can configure on the Calendars PagePart. The three buttons include:

Display "New" Button 

The Display "New" Button, when set to Always will make it so there is a button visible on the calendar that allows calendar Events to be added by whoever has permission to do so. When set to "Never" the button, the New button will not be displayed and no new calendar Events can be added to the calendar PagePart. You also have the option to position the button AboveBelow, or Above and Below the announcements PagePart.

Entering certain groups in the Allow for Selected Group(s) box means only members in those groups will be able to access the Add New Item button on the front end.  Note: If a group has it's access removed from the page part, the group will also be removed from having access to the button. A warning message will appear on the page to show this.


Display "Edit" Button

The Display "Edit" Button gives you the option to allow editing of the Calendar entries.

In the picture below, you will see what the edit button looks like on the Display form for a calendar Event. It will allow anyone with permission to the PagePart to edit the calendar events. 

  1. Edit one entry
  2. Edit all entry in series (only available if event is reoccurring) 


Display "Copy" Button

When enabled and a user clicks into a calendar event, the Copy button will be displayed and will allow the user to copy the event.

PagePart Permissions


PagePart Permissions is where you can choose which groups have access to this PagePart. To add a group, click on their name in the Do Not Have Access box so it is highlighted and then press the arrow button to move them to Have Access.

You can also remove permissions from the PagePart by selecting a group in the Have Access box and selecting the arrow to move the group to the Do Not Have Access Box

If you select the double arrows, it will move all groups in the box under where the double arrows were selected to the box next to it. This can be used to provide access to all groups listed or to remove access from all groups listed. 


PagePart Visibility (Listing Portals only)


If this PagePart is being added to a Page on an Listing Portal like Individuals, Programs or Residences, the PagePart Visibility section will appear in the PagePart settings. To learn more about this section, select one of the links below:

For Standard Portals (non-Listing), this section will not be displayed.


Print Calendar


Overview

The calendar should be the only page part displayed on the page. 

Reoccurring calendar items have a indicative symbol 


Ways to print

Ctrl + P

Settings > Print 


Print Calendar Settings


  1. Destination - Printer/Application (A calendar can be printed, as well as downloaded into a PDF file) 
  2. Pages - select the number of pages to print
  3. Layout - Portrait or Landscape 
  4. Colour - Choose between Colour or Black/White printing
  5. Paper Size choices - Default Letter 
  6. Pages per sheet - Default 1
  7. Margins - Adjust to preference 
  8. Scale - Default or Custom Scale
