Portal Settings Recycle Bin

Overview


This knowledge base article provides you with everything you need to know about the Recycle Bin in Configure Portal Settings on your ShareVision site.

There are two additional Recycle Bins available on your ShareVision site: 

  • In the Quick Start Menu
  • In Site Administration

Requirements/Dependencies


Before working with the Portal Settings Recycle Bin on your ShareVision site, you will need to

  • Be able to login with ShareVision Administrator permissions

All Portals, Pages, and PageParts can be deleted from the list in the Portal Settings. Even System Portals, Pages and PageParts which are identified by the padlock icon  can be deleted from the list in Configure Portal Settings. When any of these items are deleted, they are automatically moved to the Recycle Bin in Configure Portal Settings.

From the Recycle Bin you can restore any Portals, Pages and PageParts that you have deleted. This saves you from having to recreate items that you have deleted. This is also a great way to remove any Portals, Pages or PageParts that your organization isn't currently using.

From the Recycle Bin, you are able to permanently delete any Portals, Pages and PagePart as long as they are not System Portals, Pages and PageParts which are identified by the padlock icon



How to Access


The Portal Settings Recycle Bin is located in Portal settings.

  1. Login to ShareVision with a user account that has Site Administrator permissions. 
  2. Select the gear in the upper right hand corner and then select Site Administration:


  3. When prompted, enter your ShareVision Administrator username and password and select Sign In.


  4. In Site Administration, select Configure Portal Settings in the Portals and Pages section:




  5. Once you are on the Portals Page, scroll to the bottom on the left hand side to find the Recycle Bin




Deleting an Item in Portal Settings


To delete a Portal, Page or Page or PagePart, 

  1. Select the item that you would like to delete.
  2. Scroll down to the Delete button on the right side of the window and select it.
  3. If there are are Pages and/or PageParts that are part of the item you are deleting, they will be listed on the warning message that appears. Note that any system items which are identified by the padlock icon  will be included in the list and will be removed from Portal Settings list. You will not be able to permanently delete the system items from the Recycle Bin.
  4. Select Delete!
  5. The items will be removed from Portal Settings and will be moved to the Recycle Bin




Portal Settings Recycle Bin


Once you have deleted any Portal, Page or PagePart it will appear in the Recycle Bin in the Portal settings. When you select the Recycle Bin in Portal Settings, a window will appear and will list everything that has been deleted. Portals, Pages and PageParts are divided into separate sections.



Options for Non-System Portals, Pages and PageParts (Do not have a padlock icon )

When you select an item in the Recycle Bin, if the item is not a system item (identified by the padlock icon), you will have two options:

  1. Restore Element: Restoring the item will return it to where is was located in Portal Settings before it was deleted.

  2. Permanently Delete Element: Permanently Deleting the item will completely remove it from your ShareVision site and you will not be able to recover it at a later date.


If you do decide to permanently delete an item a warning will appear after you press the Permanently Delete Element button. You will need to type Delete in the space provided to confirm the deletion. Then, select the Confirm button. Once you click Confirm, there is no way to bring the item back.


Be cautious with Permanently Deleting any items that have custom work. If you Permanently Delete any item with custom work and you need to recreate the deleted item, the custom work will need to be redone and billable time will apply.




Options for System Portals, Pages and PageParts

If the item you deleted from the Portal Menu was a system element (), the Permanently Delete Button will not be an option that appears when in the Recycle Bin. You will only be able to restore System Elements or leave them in the recycle bin if you wouldn't like listed in Portal Settings




Cleaning the Recycle Bin


Deleted items from Portal Settings will remain in the Portal Settings Recycle Bin forever or until a Site Administrator cleans the Recycle Bin. Only Non-System Portals, Pages and PageParts will be removed from the Recycle Bin when the Clean Recycle Bin button is selected.

  1. Select the Recycle Bin in Portal Settings.

  2. In the top left corner of the Recycle Bin is a Clean Recycle Bin button.
     
  3. The Clean Recycle Bin button will fully empty the Recycle Bin, except for system elements (). This is an efficient way to permanently delete many items in the Recycle Bin as you won't have to delete items one at a time.

  4. When the Clean Recycle Bin button is selected, a warning will appear letting you know the deletion is permanent and cannot be undone.

  5. Select Delete!

  6. You will then have to type "Delete" in the space provided to confirm the deletion.

  7. Select Confirm. Once the deletion has been confirmed the item(s) is/are gone and cannot be recovered. 

    Be cautious with Permanently Deleting any items that have custom work. If you Permanently Delete any item with custom work and you need to recreate the deleted item, the custom work will need to be redone and billable time will apply.
