About - Calendars


Events Calendars, as well as the Individual, program, and residence Schedules, show upcoming events for the near future. Calendar views for all calendars are accessed from the All Site Content page, Lists section.

Calendar features and how-to's are common to all ShareVision calendars.


Getting Here


The Events Calendar Web part is displayed in the main content areas of Home. Details pages have a similar Web part for Individual, program and residence schedules. All calendars are stored in All Site Content.

 



Calendar Features

Date Selectors on Calendars

At the top of the navigation bar a small date selector allows you to jump quickly to future and past months. Click the black arrow that points left (previous years) or the arrow that points to the right (future years). Once in the correct year, click the month you would like to view, as shown with October in the image below:

At the bottom of the selector, the current date is displayed. Click this link to return to the day view of the calendar with "today's" events loaded.


Depending on what view you are looking at (day, week or month view) the selector may change. For example, looking at the calendar in a weekly view yields the following selector:

Calendar View Options 

Create a Calendar View

  1. Follow the Getting Here instructions.
  2. Click on Calendar View on the Create View page.
  3. Modify the view settings.
  4. Click OK to save and finish.


Calendar Event Titles

The title of the event is what displays on the calendar.

Try to keep the title short and to the point so the display remains manageable.

Note: The reason the entry on the 12th (first image with the long title) has a blue background and no time is because the entry was set as an All Day Event, with no specific start and end times. When this is not set, entries will show their start time.  Depending on the theme that's been set up for your ShareVision site, this colour may vary.

Calendars - Adding Events

Getting here: All events on all calendars are managed from the calendar view, available through the All Site Content page. Find Events Calendar and all other calendars in the Lists section.

 You can choose to list an event on all calendars; or, select one or more audiences to have events appear only on certain calendars, like the Program Schedule, for example. Limit the audience even further to a single program, residence, or Individual. See Calendar Event Details.

Edit/Delete A Calendar Event

Get here: All events on all calendars are managed from the calendar view, available through the All Site Content page. Find Events Calendar and all other calendars in the Lists section.  

  1. Click on an event to open it.
  2. Choose: 
    • Edit: Click Edit Item on the Item Toolbar for List Records. See Calendar Event Details (below).
    • Delete: Click Delete Item on the Item Toolbar for List Records.

Open the calendar from the All Site Content page, Lists section. Click on any calendar item to view the full details of the event.

Location

The Location field informs viewers where the event will be taking place. For meetings, it might be the board room or the conference room. 

Description

The Description field provides a place to add a note or comment about the event. When you click into the text field, you activate the formatting toolbar for text.

All Day Event

Check the All Day Event checkbox for events not associated with a time, like certification reminders or vacation notices. All day events do not display times and have a different background colour.

Audiences

Choose which calendars the event will appear on. You can choose to list an event on all calendars; or, select one or more audiences to have events appear only on certain calendars, like the Program Schedule, for example. Limit the audience even further to a single program, residence, or Individual.

Set recurrence on events that repeat in a predictable cycle. ShareVision will automatically add future events to your calendars on the recurrence dates you set.


Recurrence options are enabled when the checkbox Make this a repeating event is checked.

Be sure to set an end date for the event.


Checking Monthly enables other options.
