Overview

  1. Employee List page - Show All/Show Active/Show Inactive: these filter controls for this page are based on the value in the 'Employee Information' form Termination Date field.
  2. Employee Information form Manager field: can be used by entering a user account in this field will allow that same user to view the Employee details of the person named in the Employee field. This allows the Manager of a team to directly view their team HR files.
  3. Certifications page: by Employee filter page of the Employee Certifications list. The Add Reminder functionality allows an email alert to be sent prior to an expiry or renewal date.
  4. Vacation/Time Off page: by Employee filter page where permitted users (that can access the HR icon, e.g. HR Admins, Managers) can Approve or Decline employee requests for vacation/time off made by the employee via (on your site) QuickStart > Employee Services > Request For Time Off.
  5. Documents page: a file repository for files related to each Employee. The page is a view of a folder named with the Employee name which is located in the Employee Documents document library.



Employee Listing Page

In order to have Employees listed in your HR Portal, they must first be added to your ShareVision site as users. 

Once your Users have been added to the site and User Profiles have been created for them, you will see the listing of users on the Employees page once you’ve clicked on the HR icon in the Quick Launch → 


Employee Details Page

Each Employee will have their own details page.

From this page you can update an employees History with your organization, any training the employee may have taken, and keep notes on the employee.  Please note that the corresponding lists can be found in Site Actions> view all site content, with the same names.

Under the Quick start you will see a link back to the list of Employees, as well as a Certifications page.


Employee Certifications and Renewal Reminders

The Certifications list allows you to associate a Date Acquired and Date Expired to Certifications.



Employee Information Webpart

Employee Information can be Edited by clicking on 'View/Edit All Information' link.

To see the listing of all “Employee Information” items, go to Site Actions> View All Site Content> Lists> User- Profiles. This will help when editing in bulk.

Under the Quick start you will see a link back to the list of Employees, as well as a Certifications page.

                   


This feature has been superseded by the Email Alert Manager Add-on which has much more power and flexibility to alert users by email. With that in mind, eventually this feature will be removed

If your site does not have the Email Alert Manager Add-on this feature can still be used.

The Add Reminder feature allows you to set a time from expiry to have an email sent to desired recipients to alert that a Certification needs to be updated.


Employee Time Off/Vacation Requests: Viewing and Approving

While viewing an Employee you can also view and edit Vacation/Time Off requests by clicking the link on the QuickStart.

An employee is able to request for time off from the Employee Services portal and these requests can be approved or declined by managers from the Employee Details page.


Team/Line Manager access to Employees HR Details

Manager HR access to employees they line manage: behind the scenes code that allows a user specified in the Employee 'User-Profiles' column 'Manager' the ability to view and access that Employee's Details page via the HR Portal Employee list page (if the specified 'Manager' has been granted permissions to view the HR Portal).

Additional functionality can be added to the HR Portal as well, please make sure to speak to your Product Expert for any additional requirements.
