Delete Documents/List Items
Deleted items and folders are sent to the Recycle Bin. Items may be restored from the Recycle Bin within 30 days of being deleted.
Open the document library or list in which the document/list item is stored.
Hover your mouse over the document/list item to expose a menu access arrow.
Click the arrow to open the Item Menu for Document Records or the Item Menu for List Records.
There are two ways to delete an item:
Select Delete from the dropdown menu options.
Then choose either:
Delete documents: Select View Properties from the dropdown menu. Then select Delete Item from the Item Toolbar for Documents.
Delete a list item: Select View Item from the dropdown menu. Then select Delete Item from the Item Toolbar for List Records.
Manage Permissions for a Document or List Item
Open the document library or list in which the document/list item is stored.
Hover your mouse over the document/list item to expose a menu access arrow.
Click the arrow to open the Item Menu for Document Records or the Item Menu for List Records.
There are two ways to access the item permissions page:
Select Manage Permissions from the dropdown menu.
Or choose:
Manage permissions for a document: Select View Properties from the dropdown menu. Then select Manage Permissions from the Item Toolbar for Documents.
Manage permissions a list item: Select ViewItem from the dropdown menu. Then select Manage Permissions from the Item Toolbar for List Records.
There are several options for managing permissions.
Edit Document Content in ShareVision
- Open the document library in which the document is stored.
- Hover your mouse over the document to expose the menu access arrow.
- Click the arrow to open the Item Menu for Document Records.
- If you are editing a Word or Excel file, select Edit in Microsoft Word or Edit in Microsoft Excel. Documents will open in a new window. You may be prompted to enter your ShareVision login. This is normal.
- Enter your ShareVision login to continue.
- Make your changes and remember to save them when you’re done.
- Close the window to return to your ShareVision document library.
- Click your browser's Refresh button to update the document.
- Click on the document name to open it and see your changes.

Open a Document with Windows Explorer
Available for document libraries. Use Windows Explorer to drag and drop files and folders into the library.
- Open the list or library from the All Site Content page.
- Open the List Toolbar Actions menu or the Document Library Toolbar Actions menu.
- Select Open with Windows Explorer.
Check Out a Document for Editing
Checked-out documents are locked for editing by other users until they are checked back in. This prevents overwriting changes simultaneously applied by more than one user. Check-out is disabled by default.
- Open the document library in which the document is stored.
- Hover your mouse over the document to expose the menu access arrow.
- Click the arrow to open the Item Menu for Document Records.
- Select Check Out.
Create a New Document
New documents can be created directly from the ShareVision document library that will store them.
- Open the document library from the All Site Content page to access the All Documents Library View.
- Click on the document library toolbar New menu.
- Select New Document.
Create a New Folder
Folders help organize documents.
- Open the document library from the All Site Content page to access the All Documents Library View.
- Click on the document library toolbar New menu.
- Select New Folder.
Upload Document Files to ShareVision
Document libraries can store a variety of document formats, such as Microsoft Office Word, Excel, Access, Adobe PDF, video files, audio files, and more. Document files are uploaded directly to the document library where they will be stored.
- Open the document library from the All Site Content page to access the All Documents Library View.
- Click on the Document Library Toolbar Upload Menu.
- Upload one or multiple documents at once. Uploading multiple documents at once may take several minutes.
