Add an Individual

Overview


Individuals on your ShareVision site are your agencies clients that you interact with regularly.

Add New Individual


  1. Click the Contact Manager icon in the QuickStart menu.  *Note that by default only Site Administrators have access to this feature.

  2. On the Search Contacts page enter a string of letters of either the person's first or last name and select the 'Search' button. Example if you are looking to add Isabella Robinson, search by either Isabella or Robinson.

  3. A list of existing contacts will be displayed.

  4. If there are no results to display, then the system will say no items to display on the bottom right of the search. If the person you want to add is already in ShareVision as another contact type see Adding an Individual who is already a contact.

  5. Select Create a New Contact. This is will take you to select the profile type. Select Individual.

  6. Enter Individual Last Name in the first box and First Name in the second box.

  1. Select Save

  2. Fill in the Individual details and select save.

  3. Fill in “Fact Sheet” and select Save

  4. Add newly created contact to Service.

    1. Add to Service - Select yes from the drop down menu if you are adding them to a program or residence.

    2. Service - Select the service that you are adding them to.

    3. Click OK

  5. This will take you to Program History.

  6. Fill in as much information as possible. Note - By entering a referral date, it will add the Individual to the waitlist. By entering the start date it will intake them into the service. By entering an exit date, it will discharge them from the program.

13. Next it will take you to the Contact Details page. You can see and edit the contact details for the individual you just added. If everything is correct in the details for the contact. you can move on to adding relationship for this Individual.

Adding an Individual who is already a Contact

This section will walk you through how you add an individual who is already in ShareVision as General Contact or Professional.

  1. Open the Contact Manager Portal

  2. Search for the contact that you will be adding as an individual. (#1 in the below screenshot)

  3. Open their profile (#2 in below screenshot)

  4. Select Add Profile

  5. Choose Individual. *You can see by the green checkmark you can quickly see what their current profile is.

  6. Fill in the Individual - New Item information and save

  7. Complete Fact Sheet and Save

  8. Add to Service, Change the dropdown to Yes and then select the program or residence you are adding them to. Select OK.

  9. Complete Program History and Save.

  1. This will take you back to the persons Contact Manager record where you can see they now have a General Contact profile as well as an Individual Profile.
