How to Request a New Report or an Edit of an Existing Report

Overview

If you’re reading this article, the chances are you may already have a familiarity with what ShareVisoin Reports are, and what they can do for your Site. If that’s the case, you can feel free to read ahead about how to: adjust your existing Reports, or create a new Report all together.

If you’re not yet familiar with ShareVision Reports, please refer to Reports and Report Launcher.

Requesting a new Report or an Edit of an existing Report

Reports work a little differently than other aspects of your ShareVision Site. While the ability for Administrators to configure their own Site is highly emphasized throughout ShareVision, Reports can only be created or edited by our Developer Team. This means that the addition of a new Report, or the re-formatting of an existing Report, will be billable time completed by working with one of our Product Experts.

To make the process of requesting a new or edited Report as time efficient and easy as possible, please review the information below before submitting a request to ensure your Reporting needs are met.

 What to provide our team

When requesting any work associated with your ShareVision Reports, the first step will be contacting a Product Expert. Most commonly, this will be done by sending an email to our Product Expert Queue at: experts@sharevision.ca. Or, if you have an assigned PE, by reaching out to them.

What we require to communicate your Report request to our Dev Team are four pieces of information:

Send us

  1. Lists being referenced by the Report (and links to them)

  2. The Columns of the Lists you would like to appear on the Report

  3. The Report Parameters - i.e. Date Range, Service, etc. - The parameters are used to filter the data in the report

  4. The layout (either an example document or a description)

Example of #3 - Parameters

Date Range

We want to be able to select a start and end date for the Report.

Service(s)

We’d like the ability to see all Services (Programs & Residences) listed out as checkboxes with the option to “Select All” or “Select None” - or to be able to check off particular services.

Report Sections

We want to be able to select which sections of the Report to generate. For example, we may only want to generate the “Personal Info” and “Goals” section of the report - please add the report sections to the parameters as checkboxes with an option to “Select All” as the default.

Example of #4 - Layout

Providing our Team with an idea of how you would like your Report to be formatted is a necessary step. This can be communicated verbally, however, what’s most effective is providing some sort of attached Template for our Developer Team to reference.

This can be done by mocking up a Word Document, or generating an existing ShareVision Report and overlaying your notes on what to add, remove, or edit.

 Pricing

Each Report will have a different associated cost with the it’s development; this is tied to how many hours is takes for our Developers to complete the task. The cost of your Report, or Report update, will always be communicated to you for approval before any billable time commences.

We are able to provide the factors that contribute to Report pricing, which again, is measured in hours needed to complete:

  • Report Size - how much information is being gathered, and how many List columns are needed

  • Report Complexity - more specifically, how many Lists being referenced has a direct impact on time needed. A list referencing 3 Lists will be less time intensive than one referencing 10.

  • Report Parameters - the number and complexity of the parameters

  • Report Layout - if you require a specific layout for your Report (i.e. re-creating a Government form)

  • Miscellaneous customizations - anything that wasn’t captured above that would require Dev time

 General Timeline

The general timeline for a Report request is dependent on the current volume of work assigned to our Team. However, here is a breakdown of what you can usually expect.
