Data Migrator - System Error Messages

Applies To Version 4 sites that have not been upgraded from an earlier version


Overview


This article provides a list of the various system error messages that can occur when importing data. Possible solutions to resolve these issue are also provided.

When importing data, system error messages will be listed when any issues are detected during the import. It is important to note that if there are any issues with the data during the import process, the system will abandon the import and no data will be imported until the issue(s) is/are resolved. 



Requirements/Dependencies


  • Login with ShareVision Administrator permissions 
  • Data export that you would like to import to your site.
  • Microsoft Excel

System Error Messages


Each error has to be handled for the import to be successful. Note that you should only “Ignore List Requirements” as a last step.  Some common errors and possible solutions:

Interpretation

Possible Solution

Error writing to Text Field: XXXX.  Too many characters for a Single line of Text (<Max Length of Field>).

There is too much data being sent to fit into a “single line of text” type..

The field being written to could be changed to a “Multiple lines of text” type.

Error writing to Number Field: XXXX. Data is not a number: <Your Data>

The field being written into requires the data to be numeric but the data being sent is not numeric.

Try changing to a “single line of text” type. 

Error writing to Currency Field: XXXX. Data is not currency: <Your Data>

The field being written into requires the data to be dollars but the data being sent does not have the characteristics of money.

Try changing to a “currency” type.  “Single line of text” could also take currency but it will make calculations, if that is intended, more difficult.

Error Column, XXXX does not allow multiple names: <Your Data>

Your data contains multiple users and the column is set to accept one.  

Update the column to “allow multiple solutions” when using People or Lookup type

Column XXXX is not set up correctly.  Open the settings for the column and re-save, SharePoint will fix it.

A user or group field has an invalid group selected.  

By opening the settings for this column in the list, and clicking OK, Sharepoint will fix your column.

Error: Content Type, <Your Data> was not found in List: <List Title>

The column name in Excel was not found in the v4 list.

Verify the column information in your spreadsheet and the list have EXACT matching Content types.  Even the upper and lower case character and spacing must match.

Did not find value '<Your Data>' in Lookup List:  <Lookup List> for field: XXXX

The lookup list does not contain all values that you are importing.

Update the Lookup List with the missing values or delete/replace them in your spreadsheet.

Multiple Values were specified for a Single Pick Lookup: <Your Data> for field: XXXX

Your data contains multiple values and the column is set to accept one.

Either update your data to only include a single value or update the column to allow multiple entries.

XXXX choice field had an invalid choice: <Your Data>

The column choices do not contain your choice.  

Update the choice field to include the choices in the data OR turn on "All Fill In Choices" temporarily OR check "Ignore List Requirements" in the Data Migration Tool.

Import List cannot have items updated; column 'V3ID' or 'ID' is missing from excel spreadsheet.  Re-Export from Source Website.

The key field, V3ID or ID is missing.

When exporting from a previous SharePoint Site, make sure to export the ID Column from the list.

Error uploading.  Incorrect filetype was specified.  It must be an excel spreadsheet (xls or xlsx)

The file was not of the right type expected or was corrupted.

Upload a new Excel spreadsheet.  

Required Field Missing in Excel Document: Column Name

The list has a required field in the base list (even if that field is optional in all content types) that does not exist in your spreadsheet.

Turn off content types in the list temporarily (no negative impact), and set as not required OR add this column to your spreadsheet and fill with data, OR check "Ignore List Requirements" in the Data Migration Tool.

Column <Excel Column Letter> in Excel was missing a Column Header, but contains data/formatting in 1 or more rows

There is a missing header to a column in Excel.

Update Excel by adding the correct column header, OR remove the entire column in Excel.

Invalid Field Found in Excel Document: <Field Name>, from column: " <Excel Column Letter>.

There is an unexpected column in the spreadsheet compared to the v4 list.

This column is not in the list OR update the spelling of the column in your spreadsheet OR remove it from your spreadsheet.

Required Column, <Column Name>  is missing data

The list has a required field (even if that field is optional in all content types) that requires data to be filled in.  

Turn off content types in the list temporarily, and set as not required OR add this column to your spreadsheet and fill with data, OR check "Ignore List Requirements" in the Data Migration Tool.

Required Field Missing in Excel Document: ID

An ID column was expected

If you are uploading from a non-ShareVision source, ensure you check the box to indicate the source is outside ShareVision

<Column Name> in Excel was an ID Column, but option was set to not use this column.

An ID column was not expected.

The checkbox to indicate the source of the data is outside ShareVision has been selected. Uncheck the option if it’s not needed.


Note:  After a failure in Data Migrator, you will want to edit your spreadsheet or your list.  When re-trying, make sure to refresh the Data Migrator page so that it properly recognizes changes made to the spreadsheet.
