Document Libraries - Mapping to a Network Drive

When looking to do bulk edits to document libraries where there will be editing to multiple files you can use a Mapped network drive to make the edits and navigate through the folders in Window explorer

 

IMPORTANT INFORMATION


Any changes made to documents in Windows File Explorer are permanent and cannot be restored.

If you edit a document by opening it through Windows File Explorer and save the change, you cannot restore to a previous version of the document in ShareVision

If you delete a document through Windows File Explorer, you cannot restore it from the Recycle Bin in ShareVision.

Please contact Support if you have any questions prior to mapping a network drive to your ShareVision site.

 

  1. In the windows explorer window right click the network folder and select “ Map a network drive” in the drop down window

  2. Enter you website URL in the “Folder” field. (NOTE: the url will need to end with “sharevision.ca” )

     

  3. Once the connection is made you can navigate through your website folders as you normally would in windows explorer, adding, deleting and moving files. For example Jimmy Anderson’s individuals documents folders shown below:

     

  4. When the setup is complete you will be able to access the site folders in your “Network Locations” in the This PC/My Computer page

     

 

ABOUT THE LIST OF FOLDERS IN WINDOWS FILE EXPLORER


The folders listed in the mapped network drive you added include ALL FOLDERS AND FILES on your ShareVision site.

Some of the content is safe to work with in Windows File Explorer, some of it is not. 

Please refer to the table below for more details.

Any folder with the same name as the Document Libraries in your ShareVision site. 

To view the list of Document Libraries on your ShareVision site: 

  1. In Site Administration, select Site Actions >> View All Site Content.

  2. The full list of Document Libraries is located in the top section under the title: Document Libraries

REMINDER:

  • If you edit a document by opening it through Windows File Explorer and save the change, you cannot restore to a previous version of the document in ShareVision

  • If you delete a document through Windows File Explorer, you cannot restore it from the Recycle Bin in ShareVision.

  • The Lists folder or anything in it

  • Any file that ends with .aspx 

  • Any folder that is not listed in the Document Libraries on your ShareVision site.

If you are unsure if you should be making a change through Windows File Explorer, please contact Support before making any changes.

 

SPECIAL INFORMATION FOR LARGE DATABASES


For large ShareVision databases, there will likely be some folders that and are quite large. In order for these folders to load properly in Windows File Explorer, you may need to edit some entries in the Registry Editor on your computer.

  • If you are unfamiliar with making changes in the Registry Editor, please reach out to your organization's IT Support Team and share the following information with them.

  • Making changes in the Registry Editor can cause issues with your computer and how it runs.

  • ShareVision Support and Product Expert Teams cannot provide support or assistance with the recommended changes to setting in the Registry Editor (below). 

Recommended Changes to the Registry Editor for Large Databases

  1. Go to Start and enter Registry Editor.

  2. Select Open.

  3. Go to: Computer\HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Services\WebClient\Parameters

  4. For each of the Parameters highlighted in the above image, double click the parameter and set the value according to the table below:

5. You will now need to restart the WebClient service in Task Manager. Go to Start and enter Task Manager.

6. Select Open.

7. Select the Services tab.

8. Locate the WebClient and right click it.

9. Select Restart.

The folders in Windows File Explorer for your ShareVision site should now display an accurate folder size for each folder.
