About - Content Approval


Content approval can be activated for any list or library. It is often used for things like time-off requests by staff. With content approval turned on (see Turn on content approval), new items are pending until they are approved or rejected. Items that are pending are only visible to the item's creator and to administrators. Load the My submissions view to see all personal requests.


When Eileen Grady is logged in, she will only be able to view her pending and rejected requests.

Eileen Grady can also view approved requests for all users by loading the All Events view.



Approved items are made visible to all users with access to the list or library. Rejected items are hidden from the public view, remaining visible only to the creator and to administrators.

Notice Paul is not able to see Eileen's pending or rejected requests. He is only permitted to see his own requests and all approved requests.


Administrator View


Administrators see all pending, rejected and approved items. To approve or reject an item, open the Item Menu for List Records.Note: The Approve/reject option does not appear on the menu if content approval is not enabled for a list or library.



Select Approve/reject to load the approve/reject settings page. Select a new status and click OK to save and finish.
